A set of macros accessed via Function Keys can be loaded via the macro
"Keys", to do this double click on the file Blank and then double click
on Keys.
The file Tools has been modified from G Fitton's original by "Date"
stamping in slot A1 and introducing column D such that D5=C5-A$1.
Thus, if the number in column D is 0 or negative, the tool is due back.
LetterO is also modified from the original such that the reference in
B2 is to [ToolsOut]A5. ToolsOut is a file selected from Tools with the
condition that D1<=0.
The Macro "initial" prepares and saves the initial version of ToolsOut,
this file is to be used by other macros to prepare the reminder
letters. It also snapshots slot A1 in ToolsOut and saves the file as
Toolsrem, this file is not later modified and serves as the daily index
of reminder letters sent out - NOTE - it would be necessary to resave
this daily under a unique daily name to avoid it being lost the next
day!!.
The other macros operate as follows:-
LLoad - Loads file LetterO, and consequently files ToolsOut and Members
on which it is dependent.
prt - Prints LetterO which has been updated to the first entry in
ToolsOut, it then closes LetterO.
nextLdata - deletes row 5 in ToolsOut, so that the next outstanding
tool moves up to row 5, it then saves this version of ToolsOut.
After running Keys the system operation is:-
1) Double click on Blank to get a window in the directory.
2) Ctrl-Shift F1 to prepare ToolsOut, respond YES to overwrite
existing files - twice. Then click on window of file Blank, which
should still be on the screen, to re-open it. It is necessary for
files ToolsOut and Toolsrem to be on the disc when this action is
initiated, if they are not then repeat this step. The macro will
not function correctly if the files do not require to be
over-written, since the saving will occur before the row selection
is made. This appears to be a characteristic of PipeDream.
3) Ctrl-Shift F2 to load the first letter.
4) Ctrl-Shift F3 to print the first letter.
5) Click on the window for ToolsOut, which should still be on the
screen.
6) Ctrl-Shift F4 to modify ToolsOut by deleting the reference to the
Tool of the letter in 4) above
7) Repeat from 3) above until file ToolsOut is empty, this may be
observed whilst nextLdata is running and also after this point
LetterO will be loaded at 3) above with all references 00.
NB. If is important that step 5) is not left out, an error indication
is that a particular letter will be printed twice and in
this case it should be noted that another file will have been
modified and saved as ToolsOut. Recovery is to start again from
1) and scrap the duplicated letters or modify ToolsOut by deleting
the references for the printed letters.
A Key-strip can be obtained by printing the file Keystrip on an Epson
FX-80 compatible printer with Highlight 7 set to condensed.
